Advanced Promo Code/Online Promo

Overview

Advanced Promo Codes have the advantage of being able to create a custom code for the guests to enter into the Booking Engine to get the Discount.  There are three components to an Advanced Promo Code.  All three must be set up in order for the Advanced Promo Code to work properly.  The three components are: Reservation Rule, Account Code, and Booking Engine Settings.

Reservation Rule:

Step 1. Click on the Setup button in the top right-hand corner.

Step 2. Under Advanced, click on Reservation Rules

Step 3.  Click Add

Step 4. Select Date Ranges that apply to the Promo Code

Step 5. Select the Days of the Week that you wish the promo to be in effect for, Select the Room Types you wish the Advanced Promo Code to apply to, and Select which Module you

want the promo code to take affect in.

Front Office: For the PMS.  Used by the front desk for calls and walk ins.  Advanced Promo Codes do not work with this module as of now.

Booking Engine: This one must be selected for the Advanced Promo Code to work properly.

Online Travel Agents is Expedia and Booking.com.  Advanced Promo Codes do not work with this module as of now.

Step 6. Check “Advanced Promo

Select the “Must Book Before” date (the deadline date they have to book by)

Select Blackout Dates (Dates they are not allowed to book on such as weekends or holidays).

Step 7. Click on Save

Account Code:

Step 8. Under Setup>>Accounts, click on Inventory Items

Step 9. Click on the eyeball icon for the Discounts item

Step 10. Click on the eyeball icon for the Advanced Promo item

Step 11. Click Add

Step 12. Enter Account Name

Step 13. Select Rooms or Room Types (This must match the way your Online Bookings Engine displays your units.  If your default Calendar View is set to Room Type, choose Room Types here.  If Room Name, then choose Rooms here).  Then select the units you want the Advanced Promo Code to apply to.

Step 14. Enter the Amount for the promo code and then choose from the drop-down menu whether the discount is a Percentage or Flat Amount.

Step 15. Select how to apply the Taxes, and then select the appropriate Reservation Rule

Step 16.  If your promotion uses any third-party billing, such as “Groupon”, then check the Direct Billing check box.  Enter the Company Code and Company name that were created in the Company Ledger.

Step 17. Enter the Advanced Promo Code (this is the code that your guests will enter on the Booking Engine to get this discount).

Step 18. Click Save

Booking Engine Settings:

Step 18. On the blue task bar of the Setup screen, select Web Booking, then under Advanced Easy Webrez click Booking Engine Settings

Step 19. Under Select Discount Requirements, enter the same dates that you set in the Reservation Rule.  Then, for Internet Special Discount select Advanced Promo

Step 20. Click Save Changes.

Application

This is how the guests apply the code to a booking.  In the Easy WebRez online booking engine, the Search widget will have a “Promo Code” field.

When the guest enters the code, and the appropriate dates, then the applicable rooms will show in the results, and the Summary at the end will show the Discount:

Online Promo

Overview

The Online Promo is a quick and easy way to allow an Online or Manual Reservation to receive a Discount.  The guest can enter the Account Code into the Booking Engine when making an Online Booking, and the Front Desk can select it from the Discount drop down menu to give the discount when manually entering the reservation.  There are two components to an Online Promo.  The two components are: Account Code, and Booking Engine Settings.

Account Code:

Step 1. Under Setup>>Accounts, click on Inventory Items

Step 2. Click on the eyeball icon for the Discounts item

Step 3.  If Online Promo is not in the list of Sub Groups, create it by clicking the Add button, type the name Online Promo, and click Save.  NOTE: The name must by typed exactly as “Online Promo”.

Step 4.  Click the eyeball icon next to Online Promo.

Step 5. Click Add

Step 6. Make note of the Account Code.  This will be the code that the guests enter in the Booking Engine in order to get the Discount.

Step 7. Enter Account Item Name

Step 8. DO NOT Select any Rooms or Room Types (This will cause issues with the PMS side).

Step 9.  Enter the Amount and Type of the Discount (usually “Percentage of Amount”).  In the example below, a 20% Discount is entered.

Step 10.  Click Save.

Booking Engine Settings:

Step 11. On the blue task bar of the Setup screen, select Web Booking, then under Advanced Easy Webrez click Booking Engine Settings

Step 19.  The dates under Select Discount Requirements are not required.  Under Internet Special Discount select Online Promo.  Click Save Changes.

When creating a reservation manually, and you want to apply this discount, the Quick Reservation screen will have it in the Discounts drop-down menu.  Select it, and the discount will automatically be applied:

After Saving the reservation, it will show in the Billing screen as well.
